JOB PURPOSE

The purpose of the post will be ensuring the timely procurement of commodities and services to support WFP operations in both DPR Korea and China.

KEY ACCOUNTABILITIES (not all-inclusive)

Under the direct supervision of the Procurement Officer, the candidate will be responsible for the following duties and responsibilities.
Duties and Responsibilities:
1.Perform administrative procurement activities in a timely and efficient manner, to support Professional staff in the acquisition of commodities and services for efficient WFP operations in both DPR Korea and China.
2.Compile data, prepare and distribute documents, to support successful procurement programs and operational activities, (e.g., issue tenders, evaluate offers and award contracts), ensuring standard processes are followed.
3.Review, record and ensure all supporting documentation is received, in order to enable the procurement of goods and services.
4.Coordinate and monitor the delivery of procurement requisitions and perform follow up actions to ensure supplies reach the designated destinations.
5.Update, manage and maintain relevant databases and records, to ensure the information is accurate, organised, and available for others to access, and supports reporting requirements.
6.Perform other related duties as required.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of university education.
Experience: Four or more years of progressively responsible work experience in the relative business stream with experience in procurement and/or general administrative work.

Key Competencies:

• Proficient in the use of office equipment and computer software packages, such as Microsoft Word.

• Knowledge of work routines and methods in order to complete processes under minimal supervision.

• Uses tact and courtesy to give and receive information to a wide range of individuals.

• Ability to identify data discrepancies and rectify problems requiring attention.

• Ability to offer guidance or basic on-the-job training to more junior staff.

•Ability to work in a multi-cultural team and establish effective working relations with persons of different national and cultural backgrounds.

Language: Fluency in both oral and written communication in English and Chinese.
