Documentation and Reporting Officer

Duration: Three Years Fixed Term Contract

Location: New Delhi, India (or any existing state office of WaterAid India)

About WaterAid India:

Jal Seva Charitable Foundation (JSCF) is registered in India as a not for profit company under Chapter 8 of the Companies Act, 2013. JSCF, is an associate member of WaterAid International and uses the brand name 'WaterAid' in India.

JSCF or WaterAid India (WAI) seeks to improve access to clean water, decent toilets and good hygiene for everyone, everywhere. Our work is focused on the following themes:

  • Safe, assured drinking water at a household level.
  • Safely managed sanitation.
  • Water, Sanitation and Hygiene (WASH) in Institutions (Anganwadi's, Schools and Health Care Facilities).
  • Hygiene education and Behaviour Change.

WAI country office is based in New Delhi with State Offices in Bengaluru, Bhopal, Bhubaneswar, Hyderabad, Lucknow, Raipur and Patna. We currently work in 11+ states across the country. Being a direct implementing agency, we have our district and block level teams located close to our intervention villages.

About the team:

The Programme Monitoring, Evaluation and Learning (PMEL) unit in WAI provides assurance with regard to the quality of outputs and outcomes and is the custodian of the institutional memory of WAI. The PMEL team supports the collection, management, maintenance, usage, monitoring and evaluation of all programme level data and information. PMEL comprises of three verticals:

  • Programme Management Information Systems (PMIS)
  • Reporting, Documentation and Learning (RDL)
  • Quality Assurance, Monitoring and Evaluation (QME)

About the role:

Under the general guidance of the Head of PMEL and direct supervision of the Coordinator - Reporting, Documentation and Learning the incumbent will provide key support in shaping of the on-ground field experiences into effective, inspirational and impactful reports, stories of success and other critical knowledge documents. Maintenance of a centralised repository and dissemination of information to nurture a learning atmosphere, within the organisation, is intrinsic to the role. The position holder is expected to have skills in research, documentation, reporting and learning. S/he should be able to understand large scale data and pull out relevant information from the MIS to develop infographics and reports, undertake extensive field visits to collect and report primary data and support in programme evaluation activities.

Roles and responsibilities:

Documentation and Knowledge Management

  • Maintain all internal and external documents, reports, studies and data-sets.
  • Streamline knowledge management repository and access through Intranet (one drive).
  • Maintain catalogue of available resources for easy reference.
  • Manage audio-visual documentation.
  • Prepare and update state and district profiles periodically along with context specific thematic and geographic experience and data.
  • Identify relevant information from the global WaterAid knowledge repository and facilitate dissemination to appropriate audiences within the WAI team.

Reporting and Learning

  • Produce technical documents to present WAI's work, in the areas of WASH, to stakeholders through publications. This may include collecting primary and secondary information, data interpretation and presentation, infographics etc.
  • Draft case studies, success stories, summaries and highlights of progress.
  • Draw out data and information from various internal and external resources, analyse it to draft effective Project Impact Reports to facilitate organisational decision making.
  • Develop practice notes, concept notes and any other relevant documents.
  • Track and review all organisational reports.
  • Prepare high quality PowerPoint presentations.
  • Organise learning activities/events to help enhance knowledge of programmes and PMEL teams in various themes and functional areas.
  • Share learnings with different stakeholders.

Common work to be done in consultation with other PMEL verticals

  • Extend support to other team members within PMEL unit and other units, as and when required.
  • Coordinate with other teams - Programmes, Policy and Technical Support, Resource Mobilisation and Communications in the preparation and dissemination of documents.
  • Undertake field visits, as and when required.
  • Perform any other task as may be assigned by the supervisor.

About You:

  • Master's Degree or equivalent in any field is preferred. However, candidates with a Bachelor's Degree but having exceptional experience and relevant skills may also be considered.
  • Three to five years of post-qualification experience in research, documentation, reporting and learning in the social sector is required
  • Proficiency in PowerPoint and MS Excel with an ability to pull out and understand large scale programme data on online and offline MIS and develop infographics
  • Must be able to prepare long narrative reports with high quality presentation of data and findings.
  • Skills in audio-visual documentation will be an advantage.
  • Willingness and ability to travel to field locations - villages and slums to collect primary data.
  • Ability to work under limited guidance and with competing deadlines.
  • Willingness and curiosity to learn.
  • Excellent communication and presentation skills in English.
  • Fluency in one or more Indian languages especially in Hindi, Bengali, Kannada, Telugu and Odia will be an added advantage.
