Organizational Setting

The positions are based in Nowshera(KPK) & Quetta(Balochistan). The main aim of FAO Provincial office, which is headed by an FAO International Program Coordinator, is to assist governments to develop policies, programmes and projects to achieve food security and to reduce hunger and malnutrition, to help develop the agricultural, fisheries and forestry sectors and to use their environmental and natural resources in a sustainable manner.


Reporting Lines

Under the overall guidance of the FAO Representative in Pakistan, close collaboration with Assistant FAO Representative (Administration), International Program Coordinator and Direct Supervision of Logistics Specialist/Associate, the warehouse assistant will carry out the following tasks.


Technical Focus

Manage the Warehouse and maintain the warehouse records including Ledger books, stock cards and stock control sheets, goods reception note and establish periodic reports. Reception and dispatch of Inputs with proper documentation.


Tasks and responsibilities

• To be responsible for reception and issuing of good, while ensuring warehouse management that includes storage capacities, conditions and the actual accurate storage of stock.
• To ensure documentation and accountability of all FAO entrusted supplies arriving and or leaving (IN/OUT) the warehouses.
• To ensure all records including Ledger books, stock cards, stock control sheets are accurately filled and updated (quantities recorded on the documents must correspond to the physical stock in the warehouse and in a safe, secure and clean environment.
• To ensure that warehouse best practices standards maintained at all times as guided by (by provided standard operations procedure (SOP) e.g. scheduled monthly physical inventory, periodic fumigation performed.
• To ensure that proper logistic arrangements are in place to allow smooth running of projects to avoidable commodity stock shortages in the warehouse especially during distributions.
• To ensure timely distribution of supplies and inputs to the beneficiaries through coordination with the Program teams, while monitoring the supply chain of materials from receipt, handling, storage, dispatch - transportation and final distribution.
• To be responsible for developing load & dispatch plans for distribution of inputs to the set distribution points based on the approved distribution plan.
• Take the lead on the review and updating the standard operation procedures (SOP) that guide on the process at different levels of Logistics and supply chain.
• Work closely with program and administrative staff to ensure comprehensive planning, reporting and providing support /assistance to all FAO Pakistan projects activity sites.
• Take on other ad hoc logistic & administrative tasks as assigned by the supervisor and perform any other duty as and when required.
• Strengthen logistics and Supply Chain Management systems
• Receive goods processes defined where SOPs are developed.
• Ensure warehousing and stock management systems tools in place and utilized.
• Ensure documentation is enhanced in all goods movements’ processes (Delivery Challans, waybills, issue vouchers, stock cards Bin cards etc.)
• Conduct and enhanced system of documentation for completed receptions & distributions.
• Control and Monitoring Mechanism Systems (Monthly Reporting) enhanced.
• ink between Logistics, Procurement, Operations and Finance & Admin through close coordination and collaboration with the program teams, technical teams strengthen.


CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING


Minimum Requirements

• National of the country of assignment
• Bachelors or Diploma in Storekeeping, Logistics, Warehouse Management, basic training in warehouse management, Dispatch planning & transportation.
• Minimum 03 years’ relevant working experience in warehouse management.
• Working knowledge of English and of local languages.

Technical/Functional Skills

• Good knowledge of Logistics and Supply Chain Management (Procurement, Stock Management, Warehousing including temperature controlled, transportation and Distribution).
• Knowledge of United Nations and International Organizations’ administrative policies and procedures.
• Good knowledge of communication and documentation, standards (reporting)
• Knowledge and understanding of sourcing within the procurement function.
• Strong research skills, ability to conduct benchmarking analysis in support of (third Party) vendor identification, selection and performance management.
• Display initiative and take responsibility for achieving agreed outputs within set deadlines and closely follow-up until successful outputs are achieved.
• Continue to seek new, innovative and improved methods and systems for accomplishing the work assigned.
• Identify and recommend remedial measures to address problems in systems design or implementation
